Organization, whether of tangible material or of intangible tasks, is a hefty task in itself. But often once the organization part is out of the way, things somehow start feeling a lot easier to accomplish. Thus the lesson we learn is to advocate organization, and one aspect of that is document storage.

Although the world has moved into a paperless dimension, documents, proofs, authority papers still need to be stored and managed in a collaborative manner. But they can still be paperless.

Types of Document Storage

• Online storage also known as portable storage or data backup
• Storage units or storage container

Document storage can be for both personal and official reasons. When it comes to office storage some of the things to keep in mind are:

• Confidentiality: You may want to double check on the reliability of the storage facilities and the market reputation of the vendor
• Location & vicinity: It is convenient to choose a location closer to your office or home. This way you will have ready and easy access to the storage space.
• Price & size:These qualify as two complimentary features. It is a good idea to make a thorough assessment of your space requirements before you select the storage unit. This will help you to keep a check on your overheads in the long run.
• Temperature & weather
  • Documents too can get damaged with excessive temperature or harsh weather conditions. This is especially true if the documents are already old. In case of computer hardware, it would be great if you can add a temperature gauge inside the storage unit.
  • For software you may want to create a backup, no matter how nominal the storage requirement is. For example, newspapers are logged everyday and are considered part of the national storage.
• Accessibility: You may want to check working hours for the space you are using. If your requirements for accessing the information are out of the normal working hours, and you would need help from staff, it's best to discuss this before you make the final call.
